Terms of Service
1. About these terms
These terms govern your use of The Front Desk ("we", "us", "our"). By signing up or using the service, you agree to these terms. If you don't agree, please don't use the service.
We may update these terms from time to time. If we make material changes, we'll notify you by email or through the service. Continued use after changes means you accept the updated terms.
2. What The Front Desk does
The Front Desk is an AI voice assistant for UK businesses. The service answers calls on your behalf, captures enquiries, books jobs, filters spam, and hands off to you when needed. We also provide a web-based dashboard for overview and reporting.
The service uses artificial intelligence to process calls. While we strive for accuracy, AI-generated content and responses should be reviewed by you as part of your normal business operations.
3. Your account
To use The Front Desk, you need to create an account and provide accurate information. You are responsible for keeping your account secure and for all activity that occurs under it. You must be at least 18 years old and a UK-based business to use the service.
You must not share your account with others or allow anyone else to access the service through your account without our consent.
4. Your data and content
You own your data. Everything captured through The Front Desk — caller records, transcripts, notes — belongs to you. We don't claim any ownership over your content.
You grant us a licence to use your data solely to provide and improve the service. We will not share your business data with third parties except as described in our Privacy Policy.
You are responsible for ensuring that the data you input (including caller contact details) has been collected and shared with appropriate consent under UK GDPR.
5. Acceptable use
You agree not to use The Front Desk to:
- Send spam, phishing, or unsolicited messages through our service
- Make fraudulent or misleading calls
- Impersonate another person or business
- Attempt to reverse-engineer, hack, or disrupt the service
- Use the service for any illegal activity
- Upload malicious content or attempt to compromise our systems
We reserve the right to suspend or terminate your account if you breach these terms.
6. Pricing and payment
The Front Desk offers paid subscription plans. Current pricing is displayed on our website and may change with reasonable notice.
- Paid plans are billed monthly unless otherwise stated
- Payment is taken in advance at the start of each billing cycle
- All prices are in GBP and inclusive of VAT where applicable
- If payment fails, we'll notify you and may restrict access to paid features until the issue is resolved
7. Cancellation and refunds
You can cancel your subscription at any time. When you cancel, you'll continue to have access to paid features until the end of your current billing period. We don't offer pro-rata refunds for partial months.
If you're within 14 days of your first paid subscription and haven't used the service extensively, you may request a full refund under the Consumer Contracts Regulations 2013. Contact us at hello@thefrontdesk.uk.
8. Data export
You can request an export of your data at any time. If you cancel your account, we'll make your data available for export for 30 days after cancellation. After that, your data will be deleted in accordance with our Privacy Policy.
9. Service availability
We aim to keep The Front Desk available 24/7, but we can't guarantee uninterrupted service. We may need to carry out maintenance, updates, or deal with issues beyond our control. We'll try to give advance notice of planned downtime where possible.
The service depends on third-party platforms including telephony carriers and various cloud providers. We are not responsible for outages or changes to those platforms.
10. AI-generated content disclaimer
The Front Desk uses artificial intelligence to handle calls and messages. While we work hard to ensure accuracy, you acknowledge that:
- AI-generated responses should be reviewed as part of your normal operations
- The service does not constitute professional financial, legal, or tax advice
- You are responsible for the accuracy of information communicated on your behalf
- AI responses may occasionally contain errors — always verify important details
11. Limitation of liability
To the maximum extent permitted by law:
- The Front Desk is provided "as is" without warranties of any kind, express or implied
- We are not liable for any indirect, incidental, or consequential damages arising from your use of the service
- Our total liability to you for any claim arising from these terms or the service shall not exceed the total amount you've paid us in the 12 months before the claim
- We are not liable for any loss arising from inaccurate AI-generated content communicated on your behalf
Nothing in these terms limits our liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.
12. Intellectual property
The Front Desk brand, software, AI models, website design, and all associated intellectual property belong to us. You may not copy, modify, or redistribute any part of the service without our written permission.
13. Suspension and termination
We may suspend or terminate your account if:
- You breach these terms
- Your payment is overdue by more than 14 days
- We reasonably believe your account is being used fraudulently
- We are required to by law
If we terminate your account without cause, we'll refund any unused portion of your current billing period. If terminated for breach, no refund will be given.
14. Governing law
These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
